All cancellations must be submitted to Wildlight Expeditions in writing.
Unless otherwise stated in the terms for a specific expedition, all deposits and payments made to Wildlight Expeditions are non-refundable and non-transferable if a participant cancels for any reason.
However, if a participant cancels and Wildlight Expeditions is able to fill the participant’s place with another paying participant, Wildlight Expeditions will provide a refund of amounts recovered as a result of filling that place, less:
• any non-refundable or unrecoverable amounts already paid or committed to third-party suppliers on the participant’s behalf;
• any costs associated with replacing the participant; and
• a cancellation/administrative fee of $500 per participant.
A refund is available only after the replacement participant has paid all amounts required for the expedition. Wildlight Expeditions does not guarantee that it will be able to find a replacement participant.
If Wildlight Expeditions is unable to fill the cancelled position, no refund will be provided, regardless of the reason for cancellation.
Participants may identify a potential replacement participant; however, any replacement is subject to Wildlight Expeditions’ approval and must satisfy all requirements applicable to the expedition.

No refund, credit, or price adjustment will be provided for late arrival, early departure, missed activities, voluntary withdrawal, failure to participate, or any lodging, transportation, meals, photographic instruction, wildlife viewing, or other services that a participant chooses not to use

Wildlife photography expeditions take place in natural and often remote environments. Wildlife sightings, photographic opportunities, weather conditions, transportation schedules, and access to particular locations cannot be guaranteed.
Weather or other conditions may require changes to charter flights, transportation, accommodations, activities, schedules, or itineraries. Such changes do not constitute a cancellation by Wildlight Expeditions and generally do not entitle a participant to a refund.
Wildlight Expeditions and its suppliers may modify an itinerary when reasonably necessary for participant safety, wildlife considerations, weather, transportation limitations, or circumstances beyond their reasonable control.

Because expedition payments may become non-refundable long before departure, Wildlight Expeditions strongly recommends that every participant purchase comprehensive travel insurance immediately after booking.
Participants should consider coverage for trip cancellation and interruption, medical emergencies, emergency evacuation, flight disruptions, weather-related delays, lost or delayed baggage and photographic equipment, and other circumstances that could prevent or interrupt participation.
A participant’s inability to participate because of illness, injury, family emergency, flight cancellation, employment obligations, or other personal circumstances does not alter this cancellation policy.

If Wildlight Expeditions cancels an expedition before departure for reasons within its control, participants will receive a refund of amounts paid to Wildlight Expeditions for the expedition, less any amounts that the participant has expressly agreed are non-refundable.
If an expedition cannot operate, or must be materially modified, because of circumstances beyond Wildlight Expeditions’ reasonable control—including severe weather, natural disasters, wildfire, government restrictions, transportation disruptions, closure of a destination or facility, or similar events—Wildlight Expeditions will make reasonable efforts to recover payments from suppliers.
Any refund or credit provided to participants in such circumstances will be limited to amounts actually recovered from the applicable suppliers, after deduction of reasonable unrecoverable costs.
Wildlight Expeditions is not responsible for a participant’s independently purchased airfare, lodging, transportation, equipment rental, or other travel expenses.

Payment of a deposit or other amount toward an expedition constitutes the participant’s acknowledgment and acceptance of the cancellation and refund terms applicable to that expedition.

Payment Schedule
The total cost of this expedition is $12,500 USD per person.
For bookings made before November 25, 2026: At booking:
A 20% deposit ($2,500 USD per person) is required to register and reserve your place.
By November 25, 2026: A second payment of 30% ($3,750 USD per person) is due.
By March 15, 2027: The final payment of 50% ($6,250 USD per person) is due.
For bookings made from November 25, 2026, through March 14, 2027:
At booking: A 50% deposit ($6,250 USD per person) is required to register and reserve your place.
By March 15, 2027: The final payment of 50% ($6,250 USD per person) is due.
For bookings made on or after March 15, 2027:
At booking: Full payment ($12,500 USD per person) is required to register and reserve your place.
Payment of a deposit or any other amount toward an expedition constitutes the participant’s acknowledgment and acceptance of the cancellation and refund terms applicable to that expedition.
Payments are accepted by ACH transfer from a U.S. bank account or by credit card. Credit card payments incur an additional transaction fee of 2.9%, payable by the participant. For other payment methods, please contact Wildlight Expeditions at info@wildlight-expeditions.com.

Trip registration is not complete until participants have read, signed, and returned
the following documents within 15 days of the payment of first deposit:
